Payment Methods

  • Online Registration: Credit/ Debit Card payments may be made through the secure online payment through the respective conference website.
  • Offline Registration: To register offline the participant/ applicant contact respective conference manager. The conference manager will advise the process of offline registration procedure. Please quote your invoice number as a reference. Only fully completed registration forms will be accepted. An invoice will be sent after the receipt of your registration, a confirmation of payment will be sent upon receipt of payment in full. If the full payment has not been received before the deadline indicated, the registration will remain valid, however the due fee will be increased according to the payment period. Credit card details can only be accepted through our secure online system, by email, by telephone or by fax at our contact details.

Responsibility

Attendees are personally responsible for their belongings at the conference venue. The organizers will not be responsible for any stolen or missing items.

Transportation

Kindly note that transportation and parking is the responsibility of the registrant.

Insurance

Registration fees do not include any kind of insurance.

Invoice Payment

Payment is due within 7-10 days from invoice date.

Invitation Letter

Letter of invitation will be sent only to those registered participants through mail.

Conference/Webinar Postponement or Cancellation

Herald Meetings reserves the right, at its sole discretion, to cancel or postpone any conference or webinar due to unforeseen circumstances such as natural disasters, calamities, acts of terrorism, or other unavoidable events beyond its control. In such cases, Herald Meetings shall not be held liable for any further obligations toward the registrant.

Validity of Registrations

In the event a conference or webinar is postponed due to circumstances beyond the organizer's control, all registrations will remain valid for the rescheduled edition. The registration fee and any accommodation charges will automatically be transferred to the new date. Please note that refunds will not be issued in these cases.

Alternative Event Credit/ Postponement

If a registrant is unable to attend the rescheduled event, a full credit of the amount paid will be issued. This credit may be applied toward any other Herald Meetings event occurring within one year from the original event's rescheduled date.

Limitation of Liability
The organizer is not responsible for any loss or damage resulting from the substitution, alteration, postponement, or cancellation of an event due to factors beyond its control, including but not limited to acts of God, natural disasters, sabotage, accidents, labor disputes, terrorism, or hostilities.

Personal Injury and Property Disclaimer

The organizer will not be held liable for any personal injury or damage/loss to personal property incurred by delegates during or as a result of participation in the conference or webinar.

Registration Changes or Cancellations

All requests for changes or cancellations of registration must be submitted in writing to the official conference email at contact@heraldmeetings.org

Transfer of Registration

  • Fully paid registrations may be transferred to another individual from the same organization if the original registrant is unable to attend the event.
  • All transfer requests must be submitted in writing by the original registrant. The request should include the full name, job title, contact phone number, and email address of the replacement attendee. Unless otherwise specified, all registration details will be transferred to the new participant.
  • Registrations may also be transferred from one Herald Meetings conference to another, in the event the registrant is unable to attend the originally scheduled conference.
  • Please note that transfer requests will not be accepted within 14 days of the scheduled conference.
  • Transferred registrations are not eligible for refunds under any circumstances.

Refund Policy

If a registrant is unable to attend the conference and cannot transfer their registration to another individual or event, the following refund policy will apply, considering the advance commitments made toward venue bookings, printing, logistics, and other overhead expenses:

  • Cancellations made more than 90 days prior to the conference:
    Eligible for a full refund, minus a $100 administrative fee.
  • Cancellations made between 90 and 45 days before the conference:
    Eligible for a 50% refund of the registration fee.
  • Cancellations made within 45 days of the conference:
    No refund will be issued.

Please Note

  • Payments made for E-Poster and Video Presentations are non-refundable under all circumstances.
  • In cases of natural calamities or environmental disasters, the organization is not liable for any losses. Refunds, if applicable, will be processed strictly as per the policy outlined above.
  • In the event of VISA denial, the paid amount can be transferred to another Herald Meetings conference, but will not be refunded.
  • Your funds will be returned via the same method you paid for your registration. The processed Refund can take up to 7 business days to be reflected on your account.

Visa Information

Due to heightened global security measures, we strongly encourage all participants to apply for their Business Visa at the earliest opportunity to avoid any delays.

Please note

  • Herald Meetings does not directly contact embassies or consulates on behalf of visa applicants.
  • All delegates are advised to apply specifically for a Business Visa when planning to attend the event.
  • Herald Meetings' cancellation and refund policies do not cover visa-related issues, including delays or denials. Failure to obtain a visa will not be considered a valid reason for a refund under our policy.

Accommodation Cancellation Policy

Accommodation Providers (Hotels) have their own cancellation policies and they generally apply when cancellations are made less than 30 days prior to arrival. Please contact us as soon as possible, if you wish to cancel or amend your accommodation. Herald Meetings will advise the cancellation policy of your accommodation provider, prior to cancelling or amending your booking to ensure you are fully aware of any non-refundable deposits.

Press/ Media

Press permission must be obtained from Herald Meetings prior to the event. The press will not quote speakers or delegates unless they have obtained their approval in writing. The Herald Meetings is an objective third-party nonprofit organization and is not associated with any commercial meeting company.

Data Protection

The protection of your information and the observance of your right of informational self-determination with regard to the collection, processing and use of your personal data are important to us. Herald Meetings will collect and store all personal data for the preparation and execution of the respective Conferences.

Note: Photography and Videography will not be allowed unless or until you get permission from the particular session speaker/ Chair.

Authorization Policy

By registering for the conference, you authorize Herald Meetings to photograph, record, or film your participation. You grant full permission for your name, image, likeness, voice, and comments to be used in any format—whether published, reproduced, exhibited, distributed, broadcast, edited, or digitized—for promotional, educational, or informational purposes worldwide, without any form of compensation.
